Firecrawl vs Apify for GTM: document evidence or Actor workflows?

Our editorial recommendation is to evaluate Firecrawl for a GTM workflow centered on retrieving approved web pages as documents with source metadata; evaluate Apify when the workflow depends on a reviewed Actor, its input contract and dataset output. This is an interface-fit assessment, not a claim that either extracts every site or produces better leads. The goal is defensible account evidence that can survive a CRM handoff. This guide uses official documentation, not live extraction tests, and retrieval capability is not permission to contact people.

Define the account claim you need to substantiate

A hypothetical GTM researcher wants to know whether a target company recently published a developer-focused integration page. Start by defining the evidence requirement: the company identity, relevant page URL, publication statement if present and an excerpt supporting the integration claim. A retrieval result is useful only if it can answer that narrow question without inventing context.

Firecrawl documents page-oriented output formats with metadata. Apify documents Actor execution followed by dataset retrieval. Our assessment is to choose the simpler maintainable contract for the evidence you need. Do not start by choosing the largest crawl or an Actor with an attractive title. A hundred unrelated pages can create more review burden than one preserved first-party source that directly supports the account hypothesis.

Compare a URL extraction request with a reviewed Actor contract

Firecrawl’s scrape guide shows SDK, CLI and HTTP interfaces for retrieving a URL. It documents Markdown, HTML and other formats, plus structured JSON extraction. Its crawl reference adds path filters, page limits, discovery depth and controls for following wider domain paths. Those are concrete boundaries you can specify before research runs.

Apify’s API centers on running an identified Actor, then obtaining results using the run’s defaultDatasetId. Its synchronous dataset endpoint forwards the request payload as the Actor input and supports a build parameter. Our recommendation is to review that Actor’s own input and output documentation before adoption. A platform API call does not establish that every Actor collects the same fields, preserves source text or implements the same access controls.

[1][2][5][6]

Separate provider authority from access to the target site

Firecrawl’s authenticated crawl reference uses bearer authentication. Its scrape feature guide also offers no-key getting-started examples, so do not claim every Firecrawl request universally requires an API key. Apify recommends bearer API tokens in request headers rather than URL query parameters because URLs can appear in history and logs; its reference also notes anonymous run availability for some Actors.

For your production integration, keep provider credentials in an approved secret store, not in the prospect dataset or public request URL. If a research task needs authenticated target-site access, evaluate that authorization separately from the provider token and minimize the accounts involved. Our recommendation is to start with approved public sources and keep CRM write and sending credentials unavailable to the extraction step.

[1][2][5]

Retain original evidence alongside normalized account fields

Firecrawl documents rawHtml separately from cleaned HTML and Markdown, and its responses include metadata such as sourceURL and target status. Request the formats your review process needs rather than treating a normalized summary as the original page. Keep the retrieved URL, observed time and precise supporting text alongside any structured field produced from it.

Apify’s dataset endpoint supports field selection, omission, flattening and other output transformations. Those are useful export controls, but selecting only company name and a score can discard the evidence needed to audit the score. Our recommended dataset schema retains an account key, source URL, excerpt and extraction provenance before any CRM-specific projection. Source preservation is a workflow obligation you design, not something to assume from either vendor’s default output.

[1][6]

Distinguish accepted jobs, target failures and usable evidence

Firecrawl explicitly distinguishes API request success from the target page’s statusCode in metadata. A processed request can return API success while the underlying page returned a non-success status. Inspect the page outcome and content before promoting it into research evidence. A blocked page does not prove that the company lacks the product, team or integration you were looking for.

Apify documents a 300-second limit on synchronous dataset-return requests and an asynchronous alternative. A timeout or lost client connection is not a reason to blindly launch another potentially billable run. Our operating recommendation is to preserve the run identifier when available and reconcile its state before restarting. Track retrieved, failed, unmatched and review-approved evidence separately rather than reporting every accepted request as a completed account research result.

[1][6]

Keep extraction completion outside the outbound approval boundary

Firecrawl documents webhook events for crawl and other operations, with configurable metadata and headers. The receiver must return a successful response within its documented timeout, and failed deliveries can be retried. Apify’s synchronous run reference also exposes a webhook parameter for run notifications. A completion notification should start evidence inspection, not directly activate a campaign.

Our recommended review packet shows the matched company, source, excerpt, retrieval outcome and proposed next action. Approve a CRM note or seller task independently from contacting a person. Treat instructions embedded in retrieved pages as untrusted source content, never as permission to use credentials or change the workflow. A technically reachable page is not an authorization policy, and extracted personal details do not automatically belong in an outbound audience.

Change providers when the evidence contract improves

Migrate when the current extraction route cannot reliably supply a specific required evidence format or its maintenance burden no longer fits your team. Compare the same approved public URLs and the same review criteria, including blocked pages, missing dates and ambiguous company matches. Do not invent universal extraction-rate or lead-quality rankings from a narrow sample. Record your own exceptions with their source context.

Preserve canonical URLs, stable account identifiers and prior evidence receipts through cutover. For an Actor-based design, record the selected Actor and build with the result; for a document-based design, retain the requested formats and crawl boundaries. Keep the CRM-facing schema stable so changing retrieval does not redefine a company attribute. Retire obsolete provider credentials after reconciling unfinished jobs and confirming the new review process is owned.

Frequently asked questions

Is Firecrawl a replacement for every Apify Actor?

No such conclusion is established here. Firecrawl documents URL scraping and crawl controls, while an Apify Actor has its own input and result contract. Compare the specific program and evidence format you need. A suitable document retrieval request and a specialized Actor can solve different portions of the same research workflow without implying universal feature parity.[1][6]

Does API success prove that a page was retrieved correctly?

Not in the documented Firecrawl response model. Check both the API success result and the target-page statusCode in metadata, then inspect whether the returned content supports the claim. A page failure should remain a research limitation, not be converted into evidence that the company lacks a capability or commercial signal.[1]

Can we put an Apify token in a shared URL?

Avoid that. Apify documents query-parameter tokens but recommends the bearer Authorization header because URLs can be stored in history and server logs. Keep the actual secret in approved integration configuration and ensure it is excluded from datasets, source receipts and examples. Sharing an account-research artifact should not share authority to run programs in your provider account.[5]

Which result should enter the CRM?

Only a reviewed projection of relevant evidence, under our recommended policy. Preserve the full necessary receipt separately, but send the CRM a stable account identifier, approved field or note, source reference and owner. Keep speculative intent scores and unsupported personal claims out of factual attributes. Neither a finished crawl nor a completed Actor run supplies permission for external communication.Cheetah assessment
