GTM use case · Editorial decision guide
AI personalization for outbound: evidence before fluent copy
Use AI personalization to explain a relevant business observation, not to manufacture familiarity. Our editorial recommendation is a two-stage workflow: assemble a cited evidence packet, then draft only from approved facts and clearly framed hypotheses. If the evidence does not establish a useful connection, do not invent one to fill a personalization field. This documentation-backed guide is an operating design, not a model benchmark or a claim that personalized messages improve reply rates.

Decision comparison
On narrow screens, scroll the table horizontally.
| Approach | Useful output | Required control |
|---|---|---|
| Name and company merge fields | Correct salutation and account reference | Confirm identity and avoid pretending it is deep research[1] |
| Source-grounded business observation | A factual reason this offer may matter | Retain quote, URL, date and claim scope[2] |
| Role-level hypothesis | A question about a plausible responsibility | Label inference instead of asserting private pain[2] |
| Open-ended web research | Discover a public signal for review | Treat fetched text as untrusted input[1][3] |
| Structured draft fields | A reviewable observation, inference and message | Schema validation does not establish factual correctness[1][3] |
| Research-and-send agent | Potentially consequential downstream action | Separate approvals and permissions from model prose[3] |
Define what makes an observation worth mentioning
A personalized sentence should connect an account's observable activity to a specific use of your product. Before collecting signals, write the relationship you expect to investigate: a published integration could make an interoperability checklist relevant; an infrastructure role opening could justify a question about tooling ownership. These are research hypotheses. A new funding announcement, by itself, does not establish a project, budget, dissatisfaction, or buying intent.
Choose the offer before the compliment. Our recommended evidence gate asks whether the observation changes whom you contact, what you offer, or what question you ask. If it changes none of those, it probably adds decoration rather than relevance. Clay documents personalized drafting from company and individual data through Use AI. The presence of that feature is not proof that every available data point belongs in a message or that any resulting sentence is true.
[1][2]Give the writer an evidence packet with claim boundaries
Store account identifier, source URL, publication date when available, retrieval date, a short supporting quote, and the precise fact it establishes. Include who published the source and whether it describes the whole company, one team, or a historical project. A source saying a team is evaluating a framework should not become 'your company runs this framework in production'. Preserve contradictory observations for review rather than letting the writer select the most convenient one.
Anthropic recommends allowing uncertainty, extracting direct quotes for grounding, and verifying factual claims against supporting quotations. Adapt that principle into a packet containing established facts, permitted inferences, and unknowns. The URL is not enough: the reviewer needs the supporting passage and its scope. A model-generated summary cannot serve as its own evidence, and a citation to a homepage cannot support a specific claim that the homepage does not make.
[2]Separate finding facts from writing persuasive language
Use a researcher stage to extract evidence, a qualification stage to judge relevance, and a writer stage that sees only approved material. The writer should not browse freely to patch weak evidence or infer a private company strategy. This separation makes rejection observable: no evidence, wrong account, stale signal, irrelevant offer, and contradictory sources are different outcomes. Keep each reason instead of treating every empty draft as a prompt failure.
Clay's Use AI documentation distinguishes Web research from Create or modify content and supports typed output fields or JSON Schema. That can implement the separation without assuming the generated configuration is already correct. Review the prompt and outputs before running. A useful research schema includes fact, quote, source_url, observed_date, uncertainty, and rejection_reason. A writing schema might include observation, tentative_connection, offer, and draft. Those field choices are our editorial recommendation, not a built-in vendor guarantee.
[1][2]Write constraints that forbid false familiarity
Tell the writer to use only supplied evidence, distinguish facts from hypotheses, avoid unsupported outcome claims, and decline to personalize when the offer does not connect. Ban statements such as 'I loved your talk' unless the sender actually watched it and endorses that statement. A public fact does not justify pretending to share a personal relationship, and a scraped profile should not become an invented claim about someone's priorities.
A practical prompt asks for one factual observation, one cautiously worded connection, and one bounded offer. Require claim-to-evidence references in the internal output, even if the customer-facing draft does not display formal citations. Anthropic's guidance explicitly permits retraction when supporting quotes cannot be found. Do not ask for a confident sentence regardless of missing information. The workflow should prefer no draft over a plausible story that the evidence does not support.
[2]Treat prospect websites as evidence, not instructions
A fetched page can contain text that tries to influence a model's instructions or tool calls. OpenAI's agent-safety guidance describes this as prompt injection and recommends isolating untrusted inputs, structured outputs between stages, and approval for consequential tool use. In this workflow, external pages should be read as data. They must not redefine the sender's policy, add recipients, request private CRM exports, or activate campaigns.
Keep the research stage read-only and provide only the fields necessary for its task. Do not include credentials or complete customer records in its context. Validate source domains and output fields outside the model before passing approved evidence onward. Schemas constrain format, not truth or authorization. Even the cited safety guidance says mitigations do not remove every risk. The safest publishing boundary is an explicit draft artifact, not a tool-enabled agent that can turn fluent text directly into a real send.
[3]Review the factual leap, not just the writing style
For each draft, ask whether the source identifies the right company, whether the observation remains timely, and whether the proposed connection goes beyond what is known. Separate factual accuracy from tone and offer quality. A polished message can still assert a nonexistent migration or exaggerate a role's responsibilities. Open the source when the claim affects the recipient's perceived business situation; another model's approval is not equivalent to independent evidence.
Hypothetical example: a company's careers page lists two platform engineering openings. An acceptable draft might offer a checklist for standardizing development environments while asking whether that is relevant to the team. An unacceptable draft asserts that hiring proves developer onboarding is failing. The two openings are illustrative, not a researched company case or evidence of buying intent. Review should remove that unsupported causal leap rather than merely soften it with more flattering adjectives.
[2][3]Keep the evidence-to-message relationship after approval
Save the approved draft with evidence identifiers, source dates, prompt version, model identifier, reviewer, and decision. If the source changes or the campaign waits long enough for the observation to become stale, reopen the draft instead of assuming approval is permanent. Preserve a minimal record sufficient for explanation, and keep sensitive internal context out of the research packet unless its use has been separately approved.
Measure accepted drafts, unsupported claims caught, stale signals rejected, identity errors, and reviewer effort. Compare a relevant segment-level message with evidence-led personalization before committing to more research complexity. These are editorial measurement suggestions, not promised conversion improvements. Track whether recipients engage with the offered problem separately from stylistic personalization. The process should teach you which observations matter, not simply generate a unique opening line for every row.
[1][2][3]Frequently asked questions
Should every outbound email be deeply personalized?
No. Our recommendation is to personalize only when evidence changes the offer or question meaningfully. A well-qualified segment may support a relevant standard message. Do not spend research effort producing compliments that neither establish fit nor help the recipient decide whether the offer is useful.[1]
Does adding a URL make an AI claim reliable?
Not by itself. The linked passage must support the precise claim about the correct account at the relevant time. Keep a quote and claim boundary, then retract unsupported assertions. Anthropic recommends source-linked verification and notes that hallucination-reduction techniques do not eliminate errors.[2]
Can I allow the research agent to send approved-looking drafts?
Keep research and sending separate. Retrieved pages are untrusted inputs, and model outputs are not authorization. OpenAI recommends approvals and constrained data flow for tool-enabled agents. Require an accountable person's release decision and sender-side eligibility checks rather than allowing the research result to trigger a send.[3]
What should happen when there is no strong signal?
Return a reasoned no-draft result or use an independently approved segment message. Do not fill the gap with invented intent, personal enthusiasm, or private pain. Give the model permission to express uncertainty and require the writer to use only the evidence supplied for the task.[2][1]
