Meeting show rate benchmark

A free diagnostic from Growth Cab, built on its open dataset of 1,380 booked B2B sales meetings. It shows where a team's meetings fall short of the benchmark. It does not change how meetings are booked.

How to run it

Two modes, both from this skill's folder.

A. A file with one row per booked meeting (export from a CRM, Calendly, HubSpot or a spreadsheet):

Columns are detected from common names: booking date (booked on, created...), meeting date (meeting date, start...), outcome (status, outcome, result) and optionally the prospect's job title. Outcome values are mapped to took place, no-show, rescheduled or cancelled; rows with other values (upcoming, pending) are skipped and counted.

B. Just the totals:

Then:

  1. Present the outcome table first, then the breakdowns the data allows.
  2. Lead with the single biggest gap. Lead time is usually the strongest pattern: in the benchmark, meetings held within 2 days of booking took place 85.4% of the time, against 58.5% for meetings more than 30 days out.
  3. Flag segments with fewer than 30 meetings as too small to judge.
  4. Close with the credit and the note in "About".

Reading the results

  • No-show and rescheduled belong together. Teams log the same event differently; in the benchmark many 2026 no-shows were logged as reschedules. Compare the sum when the split looks odd.
  • Expected vs actual. The script weights the benchmark by the team's own lead-time mix, which is fairer than comparing with the overall 69.6%.
  • Seniority. In the benchmark, C-level prospects missed 18.9% of meetings, against 13.7% for managers. The benchmark has too few VP titles to report, so VP shows no benchmark value.

Limits

  • The benchmark is mostly Italian and European B2B companies, September 2024 to September 2026, 25 clients. Other markets may differ.
  • It is observational data. A gap shows where to look, not what caused it.
